So it seems rather calm in the Belgian cartoon world, but for the European Cartoon Center it are very busy times. In less than a week we are having the opening and prize giving ceremony of the Euro-kartoenale.
Any idea what it means to organize a cartoon contest?
Well it all starts a year in advance by the determination of the theme of the contest and to find sponsors for the event. 6 months before deadline we print the contest rules and send them to all cartoonists who did participate at the two previous editions of the Euro-kartoenale and at new addresses too of course. Our rules are also published on our website and invitations are also send by email.
And than we are waiting for the works to arrive: in the beginning it is a small number arriving every week, by the end of the year packages are arriving daily.
So all entries are getting a registration number on the back of the cartoon and on the participation form and put in to a database. The name of each participating cartoonist is registered on our website. So each participant can check, on a daily basis, if his or her work did arrive well.
In the meanwhile we are preparing the jury meeting: who will we invite? As an international cartoon contest we find it important to have an international jury. Three jury members are from abroad, the others are highly experienced Belgian cartoonists. Maximum 1 sponsor is allowed in the judging team as well as one representative of the European Cartoon Center.
The week after the entry deadline a preselection is organized by the president of the jury and the president of the ECC.
Two months before the opening ceremony the judging takes place. A busy weekend for us: picking up our international guests, preparing works, making lunch and diner, etc.
The same evening we let the winners know that they are nominated for the prizes.
And then we still have to do a lot of administration: registration of the selected cartoonists for the exhibition and the cartoon catalogue. Putting the selected cartoonists on our website, creating a picsbadge and sending an e-mail to all selected cartoonists.
Next step is preparing the catalogue: scanning cartoons, deciding on lay-out, writing a preface and reviewing the prepress again and again. So 2 weeks in advance the catalogue can finally be printed.
So we can focus on the opening ceremony: who will do the presentation, who will be doing speeches, which act for the evening, ….?
The hotel for the prize winners is booked (6 of the nominees will come to the prize giving ceremony), who will get the foreign guests at the train station of Lille, the airport of Charleroi and the airport of Brussels (of course all on different dates and times)
1 week before: preparing the exhibition, which cartoon will get which place … And discussions all over again.
And then preparing the opening weekend: touristic trips, doing groceries, preparing mails, preparing reception, …. and all those little things that must be done.
